OneTribe Back to the waitlist

Privacy policy

This explains what we collect when you join the One Tribe waitlist or become a member, what we do with it, who can see it and what you can ask us to do with it. It’s written in plain English, and we only collect what we need.

What we collect

If you join the waitlist

We email you a link to confirm your address. Until you press it, your details stay with us only, and if you don’t confirm within 7 days we delete them.

If you become a member

If you have a call with us before joining

We record discovery and sales calls with Fathom too, which shows that it’s recording. We use them to understand what you need and whether One Tribe is the right fit. If you don’t join, we keep the recording for up to two years.

If you come to a retreat or event

We share these only with the venue or suppliers who need them for that event, and we delete them three months after it ends.

When you visit any of our pages

Our server briefly records your IP address. We use it to stop spam and abuse, for example to limit how many sign-ups or sign-in attempts can come from one connection. We don’t use it to work out who you are or where you live.

Where your data comes from

From you, almost always. We don’t do cold outreach, so we only have your details because you messaged us on Instagram, joined the waitlist, or someone referred you to us directly. If you give your Instagram handle, we may also look at your public profile. We never buy email lists, and we never add anyone who didn’t sign up themselves.

What you need to give us

To join the waitlist, your name and email. To become a member, the basic details we need to coach you, like your contact details, your goals and where your business is at. We can’t work together without them.

Why we use it

Sensitive information

Good coaching goes where your biggest block is, so you may share things about your health, mental health, relationships or spiritual and religious beliefs. The law treats these as sensitive.

Photos and videos

We sometimes film or take photos on calls and at retreats, for example for content on Instagram and YouTube.

Call recordings

We record our coaching calls on Zoom with Fathom, which shows that it’s recording on every call. Fathom makes a recording, a transcript, a summary and a list of action items.

We record because it makes the coaching better, and because you keep every call to rewatch. That is our legitimate interest, and yours. If you’d rather a call wasn’t recorded, tell Pedro before it starts.

How AI is used

Peds AI is a chat in the members’ app that answers the questions you’d otherwise message Pedro, the way he would. It runs on Claude, made by Anthropic.

Decisions about you

Nothing about you is decided automatically. Pedro decides who joins. Mentorship is advice: we suggest and you make the final decisions about your business. Peds AI gives suggestions only, and never makes a decision about you.

Who can see your data

These companies help us run One Tribe. Each one handles your data only on our instructions, and only for its part of the service:

Our accountant sees invoices and payment records to keep our books and file our taxes. For retreats, the venue and suppliers see only what they need, as described above.

We may also share information if the law requires it, to protect someone’s safety in an emergency, or if the business is sold or merged. A new owner would be bound by this policy.

How we protect it

No system is completely risk-free. If a breach affects your data, we’ll tell you, and the regulator where the law requires it.

When you unsubscribe, we may keep only your email address on a do-not-contact list, so we never email you again by mistake. You can ask us to delete your data sooner at any time.

Cookies

The waitlist and this page set no cookies, and we use no tracking, analytics or advertising tools anywhere.

The members’ app sets only the cookies it needs to keep you signed in and to recognise browsers you’ve trusted. Course videos play through YouTube, Loom or Vimeo, and booking runs through cal.com. These may set their own cookies when you use them.

If we ever add tracking or advertising cookies, we’ll update this policy and ask for your permission first.

International transfers

Our app and database are hosted in London. Some of the companies above are based in the United States, so your data may be handled outside the UK or the European Economic Area. Where that happens, we rely on the safeguards the law requires, such as standard contractual clauses.

Your rights

You can ask us to:

Email [email protected] and we’ll reply within one month. It’s free. We may ask you to confirm who you are first, so nobody else can get your data.

If you’re unhappy with how we’ve handled your details, please tell us first so we can put it right. You can also complain to the UK’s Information Commissioner’s Office at ico.org.uk. If you live in the European Union, you can complain to the data protection authority where you live. In Portugal that’s the CNPD at cnpd.pt.

Age

One Tribe is for adults. Please don’t join the waitlist or sign up if you’re under 18.

Changes to this policy

If we change how we handle your details, we’ll update this page and the date at the bottom. If the change is significant, we’ll email you about it before it takes effect.

Who we are

One Tribe is run by Oneflow Media LTD, a private limited company registered in England and Wales, company number 14246927. We decide how your data is used, which makes us the data controller.

Registered office: 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom

This policy covers the waitlist at onetribe.app, the members’ app at onetribe.app, our emails, and the way we run coaching for members. For anything about your data, email [email protected]. Pedro reads that inbox himself.
